Privacy Policy
SmartMail is a direct-mail service offered by VMA Services LLC. This policy explains what information we use when you visit the website, create an account, build a campaign, pay for mail, or scan a SmartMail response code.
Information we collect
Google sign-in provides your verified email address, name, and a Google account identifier. If you use email sign-in, SmartMail stores your verified email address and one-time sign-in records; the code expires and cannot be reused. We also store the business profile, return address, response phone, designs, selected recipient addresses, campaign settings, approvals, and delivery records you use in SmartMail. Stripe processes card information; SmartMail stores payment and order identifiers, status, and totals, but not full card numbers. PostGrid receives the print files and mailing details needed to fulfill an approved order.
When a postcard response page is opened, SmartMail records the scan for that individual postcard and uses a one-way representation of the network address for abuse prevention. The page prepares a text message, but the recipient decides whether to send it.
How we use information
We use information to authenticate accounts, keep customer workspaces separate, prepare and fulfill approved mail, calculate prices, prevent duplicate orders and abuse, show delivery and response status, provide support, and meet legal and accounting obligations. We do not sell customer designs or recipient lists.
Sharing and service providers
We share only the information needed with providers that operate the service, including Google for optional Google sign-in, Resend for one-time email-code delivery, Stripe for payment processing, PostGrid for print and mail fulfillment, and our hosting and storage providers. We may also disclose information when required by law or to protect users, the public, or the service.
Retention, choices, and security
Approved proofs, payment records, and mailing history may be retained to document customer authorization and prevent duplicate fulfillment. You may archive reusable designs without erasing historical campaign records. You may request access, correction, or deletion of eligible account information by contacting euripe10@gmail.com. We use access controls, encrypted credentials, scoped storage, and audit records, but no online service can guarantee absolute security.
Children and policy changes
SmartMail is a business service and is not intended for children under 13. We may update this policy as the service changes; the effective date above will identify the current version.
